At a recent procurement event, we got a chance to converse with Tim Entwisle, Director of Madrigal Communications about successful business communications.

With over a decade of experience in business communications, Tim Entwisle and his team of business and technical writers have developed a strong understanding of the best ways to create successful tender responses. He was kind enough to share his expertise and some insights with us.

“You might have done all the heavy lifting of providing an innovative solution or creating a competitive pricing package, but a poorly-written tender proposal can cost you the contract. When writing tender responses, you cannot afford to take things for granted orleave anything to chance. Leaving out important information or poorly presenting your work can have your proposal rejected even though the solution and price may be the best. You have to complete all the requirements if you want the bid to be considered and have an impactful response”, he advises.

Tim Entwisle added, “A proposal is an important instrument incommunicating your capabilities and in persuading your prospects to consider your services. It is important to remember that you maynot get a second chance to pitch. Recognise that a proposal may be your one shot to convince your potential clients that you’re the superior vendor.”

He continued, “It is important to understand that even a well-written response may not be enough to secure your success. The visual impact of your proposal requires attention as well. It is crucial to ensure your proposal is presented in a professional, attractive and engaging way. The professionalism of your branding reflects your attention to detail so an attractive document sends a signal that you are keen for the work and will take the time to do things properly. You should also include images, illustrations and diagrams to add interest and clarity to your text”.

When asked about what it takes to writewinning proposals, Tim Entwisle said, “It is a matter of combining marketing techniques with business wrting skills. We need to convince the client that you can do the job technically, that you are financially secure and that you are will manage risks effectively. No one can become a successful bid writer overnight. It takes the accumulated knowledge of business processes and a high level of competency in writing and marketing. If you are serious about improving your business’s tender responses, then consider tender writing training. It’s quite beneficial to invest in business communication skills if you also understand business and marketing.

Tim Entwisle left us with the following concluding remarks: “Don’t overlook the need for effective tender responses for your company. High quality proposals have the potential to absolutely change the course of your business”.
