“Madrigal Communications is a corporate communications agency that guarantees exceptional results and high customer satisfaction”.

Tim Entwisle, Founder and Director of Madrigal Communications

Business proposals take many forms, from unsolicited informal proposals to very formalised and structured responses to tender requests. If the buyer (client) knows what they want, they approach the market with a request for tender (RFT), request for quotation (RFQ) or an expression of interest (EOI) which require a formalised and standardised response (set by the client).

Madrigal Communications is a communications agency that specialises in technical and business writing with a strong focus on preparing tender responses for clients.

Madrigal was established by Tim Entwisle over ten years ago. Tim has extensive experience in water and wastewater research, infrastructure development, Government project and contract management and corporate communications. He has worked in Australia and the UK for several government departments and on government contracts. Since starting Madrigal Communications he has worked with some of Australia’s leading construction firms, government agencies and state owned corporations, not-for-profits and small to medium businesses.

We asked him a few questions about writing business proposals.

Question 1: What is a business proposal?

A business proposal is a formal written document that is sent to a prospective client to acquire a particular job. The client may request the proposal from you so they can understand your approach or solution towards a job and to decide whether to hire you. Alternatively businesses may send a proposal to a potential client offering a solution to a problem. These unsolicited proposals need to be very attractive to get attention from the client.

Question 2: Why is it crucial to write an error-free proposal?

Writing business proposals is a sophisticated exercise and the only way to access some large-value opportunities. They might be the only chance of obtaining a particular piece of work or selling your goods into a specific market. Therefore you cannot afford to get it wrong.

You do not want to waste what could be a business-changing opportunity by writing a poor proposal that gets rejected. A proposal might be poor in several major ways:

1. poor business analysis—that is, the financial benefits of the proposal are not clearly shown or are not comprehensive

2. poor presentation—it looks amateurish and does not match the professional standards of the potential client

3. it is poorly written—from poor spelling and grammar to being poorly constructed and argued

Business proposals aim to make a positive impression and they must be convincing enough to interest the client in the business offering. A proposal with major errors may create an unfavourable impression and prevent it being properly considered.

Question 3: How can Madrigal Communications help businesses with their writing services?

We (Madrigal Communications) have many years of industry experience and a list of successful proposals and satisfied clients. We guarantee results because our experts have technical and the business expertise to write near flawless business proposals to convince prospective clients that your company will be the most suitable for the job.

“There is no one-size-fits-all template for writing business proposals, but the objective remains the same, i.e. to attract the prospective client.”
